AI Usage Policy
What Theatrio's AI is good at, what it must not be used for, and the few things your committee should always double-check before publishing.

1.How AI works in Theatrio
When you ask for a marketing pack, we send your production details and Theatre Profile to a trusted AI provider — OpenAI, Anthropic or Google — which writes the drafts and sends them back. Nothing is generated until you ask for it.
Your data is never used to train public AI models, and Theatre Memory™ is never shared with other customers. See our Privacy Policy for the detail.
2.Appropriate use
Theatrio is designed for genuine amateur theatre marketing and communications:
- Social posts, press releases, newsletters and website copy for your productions
- Audition calls, volunteer appeals and sponsor outreach
- Event listings and programme copy
- Committee communications and community updates
Treat every output as a first draft written by a very fast, very literal volunteer.
3.Prohibited use
You must not use Theatrio's AI tools to:
- Create misleading, deceptive or fraudulent claims about a show, venue or charity
- Produce content that harasses, defames or targets an individual
- Generate hateful, discriminatory, violent or sexually explicit material
- Impersonate a person, organisation, venue or rights holder
- Generate spam, bulk unsolicited messaging or fake reviews
- Process special category or children's personal data without a lawful basis
- Attempt to bypass safety filters or extract another customer's data
We may suspend accounts used this way, as set out in our Terms & Conditions.
4.Copyright and licensing
Amateur theatre involves a lot of licensed material. You are responsible for respecting it.
- Only upload material you own or have permission to use — photographs, logos, programmes and past copy.
- Show titles, scripts, scores, artwork and branded assets usually come with licence terms from the rights holder. Check what your licence allows before publishing.
- Do not ask the AI to reproduce lyrics, script extracts or copyrighted text.
- Marketing content generated for your theatre belongs to your theatre, but that does not override a third party's rights in underlying material.
5.Harmful content and safety
AI providers apply safety filters, and some requests will simply be refused. If a legitimate theatre request is blocked — a dark drama, a content warning, a difficult theme — rephrase it factually or contact us and we will help.
If you ever receive output that is offensive or unsafe, please report it to info@theatrio.co.uk so we can improve our prompts and safeguards.
6.AI mistakes and hallucinations
AI can invent details that sound completely convincing. This is known as "hallucination" and it is a normal limitation of the technology, not a fault in your account.
Always check:
- Performance dates, times and running length
- Venue name, address and accessibility details
- Ticket prices, concessions and booking links
- Cast, crew, director and sponsor names
- Awards, history, quotes and any factual claim about your society
AI-generated content should always be reviewed for factual accuracy before publication.
7.Your responsibility as publisher
Theatrio writes the draft; your theatre publishes it. That means your committee remains responsible for the final content, including its accuracy, tone and legal compliance — advertising standards, data protection and licensing included.
We recommend one named person reviews and approves each pack before it goes out. It takes minutes and protects your society's reputation.
