Terms & Conditions

The terms that govern use of Theatrio, including your free trial, Founding Member pricing, cancellation and what you can expect from us.

1.Introduction

These Terms govern your use of Theatrio, an AI marketing platform for amateur theatre groups. By creating an account, starting a free trial or subscribing, you agree to them on behalf of yourself and your theatre organisation.

Theatrio is operated as a UK sole trader business (it is not a limited company). Our business and correspondence address is 4 Barton Court, Parkham, Bideford, EX39 5RJ, United Kingdom, and our contact email is info@theatrio.co.uk. In these Terms, "we", "us" and "Theatrio" mean that business.

We have written them to be readable by committee members. If anything is unclear, please ask before you sign up.

They should be read alongside our Privacy Policy, Cookie Policy, AI Usage Policy and Refund Policy.

2.Eligibility

You must be over 18 to use Theatrio, and you must be authorised to act on behalf of the theatre organisation whose details you enter. If you are setting up an account for a society, group or committee, you confirm you have permission to do so.

3.Free trial

New customers receive a free 14-day trial with full access to Theatrio. You enter your payment details when you start the trial: your card is securely stored by Stripe and you will not be charged until your trial ends. Cancel any time before then and you will not pay a penny.

The trial is intended to let your committee test the platform on a real production before committing to a subscription. If you do not cancel before the trial ends, your subscription begins automatically at the price shown at sign-up and renews monthly until cancelled. You can cancel at any time from Settings → Billing, which opens your secure Stripe billing portal.

4.Subscription and billing

  • Founding Members pay £9.99 per month once the free 14-day trial ends.
  • Founding Member pricing is limited to the first 20 theatre groups and is retained for as long as the subscription remains active and continuous.
  • After those places are filled, the standard price is £14.99 per month.
  • Subscriptions are billed monthly in advance and renew automatically on the same date each month until cancelled.
  • Payments are taken securely by Stripe, our payment processor. Theatrio never stores your card details.
  • Prices include VAT where applicable.

If a payment fails, Stripe may retry it and we will contact you. If a subscription lapses, Founding Member pricing may no longer be available.

We may change subscription prices with at least 30 days' notice by email. Founding Member pricing will not increase while a subscription stays active and continuous.

5.Cancellation

You may cancel at any time from your account settings or by emailing us. Your access remains available until the end of the current billing period, after which the subscription will not renew. We do not charge cancellation fees.

6.Acceptable use

When using Theatrio you must not:

  • Upload unlawful, infringing or harmful content
  • Attempt to hack, overload or disrupt the service
  • Reverse engineer, copy or resell the software
  • Share your account with unauthorised users
  • Use the AI tools in breach of our AI Usage Policy

We may suspend accounts that breach these rules, particularly where other customers are affected. Where reasonable, we will contact you first.

7.AI generated content

Theatrio generates marketing content using artificial intelligence. AI can occasionally get details wrong, such as dates, names or venue information.

You are responsible for reviewing all generated content before publishing it — including social posts, press releases and newsletters sent on your theatre's behalf.

AI-generated content should always be reviewed for factual accuracy before publication. In particular, please check performance dates and times, venue names and addresses, ticket prices and links, cast, crew and sponsor names, and any claims about your production. You remain responsible for what your theatre publishes.

8.Intellectual property

  • The Theatrio platform, software, the Theatre Memory™ name and our branding remain the intellectual property of Theatrio. Nothing in these Terms transfers ownership of the software to you.
  • Your Theatre Memory™ content belongs to your theatre. We only use it to generate content for your own organisation.
  • Material you upload — logos, photographs, programmes, documents and past copy — remains owned by your theatre or its original rights holders. You grant us a limited licence to store and process it purely to deliver the service.
  • Marketing content generated specifically for your theatre belongs to your theatre, and you are free to publish, edit and reuse it, including commercially.

You confirm you have the rights to any material you upload, including images and licensed script or show artwork.

9.Changes to the service

Theatrio is actively developed. We may:

  • Add new features and tools
  • Improve or refine existing features
  • Remove features that are obsolete or little used
  • Modify how functionality works, including AI models and providers

We will make reasonable efforts to notify you of significant changes by email or in the app. If a change materially reduces the value of your subscription, you may cancel and we will consider a pro-rata refund for the unused part of the current month.

10.Availability

We aim for high availability and will give notice of planned maintenance where we can, but we cannot guarantee uninterrupted service. Occasional downtime, third-party outages or maintenance windows may occur.

11.Force majeure

Neither party is responsible for delays or failures caused by events beyond their reasonable control, including:

  • Internet or network outages
  • Cloud, hosting or AI provider failures
  • Cyber attacks, including denial-of-service attacks
  • Power failures
  • Government action, legal restrictions or sanctions
  • Natural disasters, fire, flood, extreme weather or public health emergencies

If such an event continues for a prolonged period, either of us may end the subscription and we will refund any unused portion you have paid for in advance.

12.Limitation of liability

Theatrio is provided on an "as available" basis. To the extent permitted by law, our liability to you is limited to the amount you have paid for the service in the 12 months before the claim.

We are not liable for indirect or consequential losses, such as lost ticket sales, where those losses were not reasonably foreseeable.

Nothing in these Terms limits liability for death or personal injury caused by negligence, for fraud, or for anything else that cannot lawfully be limited — including your statutory rights under the Consumer Rights Act 2015 where you are a consumer.

13.Changes to these Terms

We may update these Terms from time to time, for example when new features are released. We will notify you of any significant changes by email or in the app, and the "last updated" date above will always reflect the current version. Continuing to use Theatrio after a change takes effect means you accept the updated Terms.

14.Governing law and your statutory rights

These Terms are governed by the laws of England and Wales, and any dispute will be subject to the exclusive jurisdiction of the courts of England and Wales.

Nothing in these Terms affects your statutory rights. If you are using Theatrio as a consumer, you keep all rights given to you by UK consumer legislation, including the Consumer Rights Act 2015 (services supplied with reasonable care and skill) and the Consumer Contracts (Information, Cancellation and Additional Charges) Regulations 2013 (including the 14-day right to cancel a distance contract). If you live in Scotland or Northern Ireland, you may also bring proceedings in your local courts.

Where these Terms conflict with a right you cannot lawfully be asked to give up, that right applies.
